How Does Automate.io Work?

Automate.io uses some specific terminology when referring to their processes and workflows. Before diving into the full review of Automate.io’s individual features, it’s helpful to learn how Automate.io works. To describe their process, we’ll use the example of connecting your Slack account to your Asana account.

There are a few terms that you should know to understand Automate.io:

  • Bots are the automated workflows that you create in Automate.io
  • Actions are the individual tasks that the Bots complete
  • Trigger is what starts the Bot, or the occurrence that starts the Bot

Automate.io creates one-way workflows across applications. These workflows, called “Bots,” complete tasks that you would otherwise have to complete manually.

Each Bot has a trigger and one or more outcomes—these outcomes are called “Actions.”

How Automate.io Works: Connecting Slack and Asana

To help you understand how Automate.io works, we’ll give you a real-life example. Say you’d like to connect your Slack and Asana accounts to automatically send update messages in Slack when a new task is created in Asana.

The Bot, in this example, is the full workflow of automatically sending the message when a new task is created. The trigger is the task being created—this is the signal to Automate.io that the Bot should be activated.

Each Slack message that is sent out counts as one Action. If 10 people need to be notified that something has been created, then 10 Slack messages will be sent, and therefore, 10 Actions were completed with one Bot workflow.

Bots

Automate.io’s Bots are created using a workflow builder. Within the dashboard, you’ll see a blue button that says, “Create Bot.” Once you select that button, you’ll link your first application, dictate the trigger, and then link the application that will complete the action.

As you can see in the image below, you can specify the details regarding both the trigger and the action.

Some plans will let you create multi-step Bots, where the trigger will set multiple actions in motion at once. Advanced Bot controls, found within higher-tier plans, include time delay, logic rules, and auto-retry, which will automatically attempt to run workflows if the process gets interrupted.

Creating and Testing Bots

We found that creating and testing Bots was the easiest in Automate.io, proving to be much easier than Integrately and Integromat. This tool, the simplest and cheapest, is correspondingly the easiest to use.

As soon as you indicate your preferred applications, Automate.io loads a series of pre-built recommended Bot workflows into your dashboard. This makes it even easier to use the tool, as you can just select workflows that have already been established.
