Formstack Sign, formerly known as InsureSign, was founded in 2006 by Chris Byers. The product was acquired by Formstack in 2019 to enhance its workplace productivity platform and increase the company’s focus on the finance and insurance industries. Today, Formstack Sign has 220 employees and is based in Fishers, Indiana.

Formstack Sign is an electronic signature tool designed for anyone who needs a flexible and secure way to capture online signatures. Its main features include legally binding signatures, multiparty signing, templates, easy storage of documents, in-person signing and text-based signing. However, it does lack some features found in more advanced alternatives such as version control, integrations with leading CRMs such as Salesforce, and tools built specifically for sales teams.

In general, Formstack Sign is one of the more reasonably priced e-signature softwares on the market based on the features it offers at each price point. For example, Formstack Sign's entry plan comes with advanced features like unlimited e-signatures, unlimited documents & templates, and custom branding.

Overall, while Formstack Sign is meant to be used by any business, we found that it's best for smaller businesses who prefer a straightforward e-signature software. We would suggest looking into more advanced e-signature softwares like DocuSign and PandaDoc if you are a larger company that needs advanced features like a document editor and version control.

Below, we will discuss the key features of Formstack Sign. We will also include screenshots of the product to give you an idea of its design and architecture.

Templates & Editing

Templates are one of Formstack Sign’s most important features. Using templates for your most common documents saves time and improves operational consistency.

Templates

Formstack Sign does not provide pre-built templates. After you upload one of your documents and add the necessary fields, you can choose to save it for future use as a template.

The functionality of templates in Formstack Sign is limited. The primary reason is that templates in Formstack Sign only save the fields (e.g. names, dates, signatures) to be added to future documents. They do not save the text and other content from the document. The only value of templates in Formstack Sign is automatically adding fields to future documents that exactly match the original.

Formstack Sign includes a useful feature known as ‘matching templates’. When you upload a new document, Formstack searches through your library of existing templates to see if any match the structure of this new document. If so, Formstack saves you time by automatically importing fields from the matching template into the new document.

Formstack Sign allows you to upload a wide range of document types to be saved as templates, including:

Editing

Once you upload your document, you can use the software to add several fields: signatures, initials, dates, text, checkboxes, radios and full names. As shown below, you add each field by selecting it from the corresponding signer’s dropdown menu.

In Formstack, you cannot edit documents or templates other than adding fields to them. Therefore, if you want to make changes to a document, you would have to do that in another system and then reupload it to Formstack. Not having a fully functional editor is especially inefficient when only minor changes to a document are needed.

Additional Editing Features

Electronic signature solutions offer additional features to further customize documents. Formstack includes custom branding and language support:

  • Formstack Sign’s custom branding is very limited. You are only able to upload your company logo. You can't remove Formstack Sign branding from emails or customizing your email signature.
  • The Formstack Sign interface can be translated into three languages: English, Spanish and French (Canadian).

Document Workflow

After you’ve created your documents, you'll use your document workflow to send, sign, and store your documents. Formstack Sign’s document workflow is efficient, however, it lacks some features found in more advanced alternatives. Below we dig into Formstack’s top document workflow features, which are:

Sending Your Documents

When you are ready to send a completed document, Formstack Sign allows you to:

  • Name the document
  • Edit a personalized message to the recipient
  • Set up password protected signing
  • Set automatic reminders
  • CC people the completed document

The Formstack platform gives you a few options for sending your documents. The most common delivery methods are:

  • Individual emails to recipients
  • Sharing a document link with recipients
  • In-person signing (Pro plan required)

Formstack Sign allows you to send your documents to an unlimited number of participants. However, Formstack Sign does not include a feature to add multiple participants at once. Adding each participant manually is time-consuming and inefficient if you need to send a document to a large number of people.

Formstack allows you to customize the order that individuals receive each document. However, this feature is not very user friendly and can take time to set up.

Real-time Notifications & Reminders

After your document is sent, Formstack provides real-time alerts that help you monitor its progress. Formstack Sign includes a document status that indicates its stage in the signing process. Example statuses include:

  • Field placement
  • Out for signature
  • Signed
  • Canceled
  • Waiting for my signature
  • Archived
  • Reusable form

Formstack Sign will automatically email you when a document has been sent and signed. You can also choose if you would like to be notified each time a participant has viewed a document in your preferences.

Formstack also comes with reminders that are sent to signers in the days after they receive each document. You can select the cadence of the reminders, and send reminders via email or text.

Document Signing

Perhaps the most critical step in the document workflow is document signing. When a participant opens the document, they have two options to navigate through and complete the document:

  • Click on Formstack Sign’s “Next” button to navigate through fields
  • Click on the links Formstack Sign has embedded in the document that indicate the action a field needs (signature, initial, etc.)

Document Storage

Once your documents have been executed, it’s important to store them in an easy to search database. Formstack stores all executed documents in its application.

As seen above, Formstack Sign allows you to organize your documents by date, status and the document creator. However, one material limitation is that it does not allow you to organize your documents manually into specific folders or groups.

Integrations & API

Electronic signature solutions develop integrations and APIs to help customers further customize their document workflows. These allow you to integrate Formstack’s functionality with your existing software applications.

Formstack Sign was originally built for the insurance industry. As a result, it only integrates with key softwares for insurance companies. These include:

Formstack Sign does not integrate with CRMs like Salesforce or storage softwares like Google Drive. You would need to have an account with some of Formstack’s other products like Formstack Forms or Formstack Documents to directly integrate with CRMs and storage softwares like the ones mentioned before.

In contrast, Formstack does offer an API with its Enterprise Plan. Larger companies with their own software developers can use the API to create a custom workflow that integrates with your existing systems.

Audit Reports

Audit reports track and verify all the important activity and changes related to your documents. In Formstack Sign, audit reports are labeled as “Document History” and include the date, time and description of the action taken on a document. You can view a document’s history through its dropdown menu, which updates as actions are taken. Formstack Sign also sends a full report through email once a document has been signed.

Mobile

Formstack Sign does not offer a mobile application. However, Formstack Sign has been moderately optimized for mobile web, as you can see below.

While not as useful as an application, FormStack’s mobile experience does include some nice-to-have features not found in alternatives like DocSketch. This includes:
